They're not small enough to make do with a basic dispatch app, and they're not structured like the for-hire carriers most enterprise TMS platforms were originally built to serve.
That mismatch shows up in a few consistent places, according to fleet technology consultants who work with private bulk operations. Load planning logic in general-purpose software assumes freight matching against a broad network of available loads, a model that doesn't map cleanly onto a private fleet moving a fixed, predictable product flow between its own facilities and customers. Billing and settlement workflows often assume a standard carrier-shipper relationship rather than the internal cost allocation many private fleets actually need. And driver workflows built for general freight rarely account for the specialized equipment, safety documentation, or delivery sequencing that bulk product, chemical, fuel, food-grade, or otherwise, requires.
The result, several fleet operators describe, is a pattern of buying software built for a different kind of operation and then spending the next two years working around it rather than with it.
Platforms built specifically with configurability for specialty and private fleets in mind, BeyondTrucks among them, have tried to address this by treating the workflow, rate logic, and documentation requirements as adjustable by the fleet itself rather than fixed at the platform level. Whether that closes the gap fully depends on how deep the configurability actually goes, but it points at what private bulk fleets are typically shopping for when they say the last system "never quite fit."
